Holding Deposit (per tenancy)

One Week’s rent. This is to reserve a property and will be offset against 1st months Rental. Please note: This will be withheld if any relevant person (including any guarantor(s)) withdraw from the tenancy, fail a Right-to-Rent check, provide materially significant false or misleading information, or fail to sign their tenancy agreement (and/or Deed of Guarantee) within 15 calendar days (or other Deadline for Agreement as mutually agreed in writing).

Security Deposit (per tenancy. Rent under £50,000 per year)

Five weeks’ rent. This covers damages or defaults on the part of the tenant during the tenancy.

Unpaid Rent

Interest at 3% above the Bank of England Base Rate from Rent Due Date until paid in order to pursue non-payment of rent. Please Note: This will not be levied until the rent is more than 14 days in arrears.

Lost Key(s) or other Security Device(s)

Tenants are liable to the actual cost of replacing any lost key(s) or other security device(s). If the loss results in locks needing to be changed, the actual costs of a locksmith, new lock and replacement keys for the tenant, landlord any other persons requiring keys will be charged to the tenant. If extra costs are incurred there will be a charge of £15 per hour (inc. VAT) for the time taken replacing lost key(s) or other security device(s).

Variation of Contract (Tenant’s Request)

£50 (inc. VAT) per agreed variation. To cover the costs associated with taking landlord’s instructions as well as the preparation and execution of new legal documents.

Change of Sharer (Tenant’s Request)

£50 (inc. VAT) per replacement tenant or any reasonable costs incurred if higher. To cover the costs associated with taking landlord’s instructions, new tenant referencing and Right-to-Rent checks, deposit registration as well as the preparation and execution of new legal documents.

Early Termination (Tenant’s Request)

Should the tenant wish to leave their contract early, they shall be liable to the landlord’s costs in re-letting the property as well as all rent due under the tenancy until the start date of the replacement tenancy. These costs will be no more than the maximum amount of rent outstanding on the tenancy.

Application terms

  • The prospective Tenant(s) understands that if they fall in to one of the categories below they will fail the referencing criteria.
    • Adverse credit, such as a CCJ.

    • A poor previous accommodation reference.

    • Earning less than 30 x their share of the monthly rent.

    • Have been employed in a zero hours or temporary contract for less than 3 months.

    • Having a contract of employment that is due to terminate before the end of tenancy with no future guaranteed employment.

    • Self employed with insufficient proof of income for the last 3 months and for the duration of the tenancy.


This list is not exhaustive and is intended as a basic guide to the failures of referencing.

  • On occasions should a tenant fall in to one of the categories above the landlord may accept a guarantor.
  • Please note this will be reviewed on an individual basis


  • The prospective Tenant(s) understand that if they withdraw their application or fail their references or Right to Rent check, that any holding funds they may have paid on application are non-refundable and will become fees due to the agent inclusive of VAT.

  • The prospective Tenant(s) understand that should the Landlord withdraw the property they will receive a full refund of any funds that they may have paid on application. The Tenant(s) also understands that the Landlord can withdraw at any point up to the signing of the AST (normally the agreed move in date).

  • The prospective Tenant(s) understand that should the Landlord withdraw the property then there will be no liability on the part of Ascend for any costs incurred by either the Landlord or the Tenant(s) .

  • The prospective Tenant(s) understand that if they do not return the reference forms within 48 hours of receipt they will be deemed to have withdrawn their application.

  • The prospective Tenant(s) agree that any holding funds paid will be deducted from the first months rental due.

  • The prospective Tenant(s) agree that should the references not be completed and accepted by Let Alliance by 24 hours prior to the provisional move in date, the Landlord reserves the right to withdraw their application. Should the Landlord agree to wait for the references to be completed and accepted by Let Alliance, the Tenant(s) will remain liable for the terms and conditions of the tenancy agreement from the provisional move in date.

  • The prospective Tenant(s) are aware that the property is taken on as seen basis and it will not be cleared or modified before their occupation. Any items the prospective Tenant(s) would like to request must be agreed by the agent in writing.

  • The prospective Tenant(s) are aware that all occupation dates are provisional until the signing of contracts. The prospective Tenant(s) are aware they should not book any services or removals until the signing of contracts and that if they chose to do so it is at their own risk and cost.

  • The prospective Tenant(s) are aware that if the property they are applying for is currently Tenanted then the existing tenants can legally retract their notice at any time. In such circumstances, the prospective Tenant(s) will receive a full refund of any funds they may have paid on application with no further liability on the part of the Landlord or his Agent. This can be ignored for vacant properties.

  • The prospective Tenant(s) are aware that if the property they are applying for is currently Tenanted, then the existing tenants can legally change their move out dates. In such circumstances the prospective Tenant(s) will be required to adjust their occupation date. If the new move in date isn’t suitable then the prospective Tenant(s) will receive a full refund of any funds they may have paid on application with no further liability on the part of the Landlord or his Agent. This can be ignored for vacant properties.

  • The prospective Tenant(s) are aware that all prospective Tenant(s) are required to sign the Tenancy within 15 calendar days from payment of holding funds. The Tenant(s) agree that this date, known as the Deadline for Agreementl, can be extended if all parties agree. No keys can be released until all paperwork is completed.

  • The prospective Tenant(s) are aware that in advance of the day of move in they will be required to pay a minimum of one month's rent and deposit and that ALL funds must be cleared into the correct Ascend Estates’ bank accounts before keys can be released. Card payments, cheques or un-cleared funds are NOT accepted.

  • Please be advised all Tenant(s) must be present and bring photographic identification to the move in appointment. Should your identification not be available to view, unfortunately we will be unable to move any Tenant(s) s into the property.

  • The prospective Tenant(s) are aware that all future rental payments must be made by standing order and must leave their bank accounts 3 days in advance of their rent due date (usually the same as the occupation date).

  • The prospective Tenant(s) understand that they are fully responsible for the installation, connection and disconnection of services such as phone line, satellite, cable TV or internet wherever they are located in the property. The prospective Tenant(s) are aware that it may not be possible to receive all services within the property. It is the prospective Tenant(s) responsibility to ascertain the availability of any services they require with the provider.

  • The prospective Tenant(s) acknowledge that we will use your name, address and contract details for the purposes of notifying your council tax, water and energy suppliers at the property and for the purposes of setting up your accounts with them. We will pass these details to Spark Energy Limited who performs these services on our behalf.

  • The prospective Tenant(s) are responsible for any extension of terrestrial television, phone lines, satellite, cable TV or internet to rooms beyond the main living room.

  • The prospective Tenant(s) understands that keys and access fobs will only be provided to named Tenant(s) s on the tenancy agreement.

  • The prospective Tenant(s) acknowledge Ascend’s scale of Tenant(s) fees below

    • For changes to Tenancy - £50 including VAT per request (or agents reasonable cost incurred if higher)

    • Change of Tenant - £50 including VAT per Tenant (or agents reasonable cost incurred if higher)

    • Surrender or Early Termination of Tenancy - £660 including VAT which are the Landlord’s costs for reletting the property along with the rent outstanding until a new tenant occupies the property.

  • The prospective Tenant(s) understand that a failure to pass any or all of the required references may result in the application being terminated noting that the holding deposit is non-refundable.

  • The prospective Tenant(s) understand that the results of these searches will be provided to Ascend by Let Alliance and accessed again in the event of a default in my rental payments.

  • The prospective Tenant(s) understand that I can request the details of any credit reference agencies used so that I can verify with them the information provided.

  • The prospective Tenant(s) understand that if I default on my tenancy obligations, this information may be released to authorised debt recovery agencies and could affect any future applications I make for tenancies, credit and insurance.

  • The prospective Tenant(s) understand that providing false or misleading information may lead to early termination of any subsequent tenancy agreement.

  • The prospective Tenant(s) are happy for Let Alliance to contact me in respect to this application if required.
